Retention and deletion

Understand how data retention and deletion are handled at a high level for customer-facing support needs.

What data Tideflow retains

Tideflow retains the data it needs to deliver and improve the product experience. This includes:

  • Call records— Caller details, summaries, transcriptions, and recordings from handled calls.
  • Workspace configuration— Business name, phone number setup, call mode, and integration settings.
  • Account data— Owner identity, authentication state, and billing relationship.
  • Messages and assistant conversations— Self-notes and in-app assistant chat history.

How long data is retained

Call recordings and transcriptions are retained as long as your workspace is active. If your subscription ends, recordings may be retained for a limited period to support re-activation or account recovery.

Tideflow does not currently impose automatic time-based expiration on call records while your workspace is active. You can contact support to request deletion of specific records if needed.

Requesting deletion

You can request data deletion by contacting Tideflow support:

  • Specific call records— Request removal of individual call records, recordings, or transcriptions.
  • Full workspace deletion— Request deletion of your entire workspace and all associated data.

Deletion requests are processed within a reasonable timeframe. Once deleted, data cannot be recovered.

What deletion covers

When you request full workspace deletion, the following is removed:

  • All call records, recordings, and transcriptions
  • All workspace settings and integration configurations
  • All messages and assistant conversation history
  • Your account identity (you would need to sign up again to use Tideflow)

Billing records managed by Stripe are retained according to Stripe's own data policies and any applicable legal requirements.

Third-party data

Data processed by Tideflow's infrastructure providers (Twilio for calls, OpenAI for AI processing, Supabase for storage) is subject to those providers' own retention and deletion policies. Tideflow does not have direct deletion access to data held by third parties but works to minimise unnecessary data sharing and retention.
